How to create multiple Calendar Events in a recurring series
The newest version of the Calendar Event interface in Civic Champs contains a powerful Event recurrence interface, allowing for complex recurrence patterns such as every Monday, Wednesday, and Friday, or every 1st and 2nd Tuesday of the month.
NOTE: This article is about the newest version of the Event Add/Edit interface in Civic Champs. If this isn't how things look when you're adding an Event, you can fill out this form to get your organization migrated to the new feature set.
When adding a Calendar Event, the Recurrence field controls if and how your Event repeats itself:
The field will initially be disabled until you've selected the dates in the first field, because the system need to know either the days of your event, or the pattern of your event, to know which options to offer for recurrence. The recurrence patterns are:
- Selected Days Only
- Repeats Weekly
- Repeats Monthly
Selected Days Only is the default pattern, and it will create an event for all of the dates selected in the date picker. This is great for events that have irregular patterns, but also what you'll use for single-day events (they're just a Selected Days Only event with a single selected day).
(An example of a Selected Days Only event that will be created on the eight days specified on the date picker. There's no limit to the amount of days selected, however, so days in future months just as easily be added to extend the event further.)
Repeats Weekly will take the days of the week selected in the "Event Date" picker, and repeat them every week. When this option is selected, an End Date field is presented, which specifies the final day the pattern will be applied:
(Because the days selected in the Event Date field are a Friday and a Saturday, the event being created in the example above will repeat every Friday and Saturday through the date selected in the End Date field.)
Please note: Repeats Weekly will not be presented as an option if the pattern created in the Event Date field exceeds a single week.
Repeats Monthly is the final option, and it behaves very similarly to Repeats Weekly, but with one major exception, because events can repeat monthly with one of two flavors:
- Respect Date
- Respect Day of the Week
Respect Date applies the pattern treating the days selected as ordinal dates, which means if the 3rd, the 10th, and the 17th are selected in the Event Date field, the event will repeat on the 3rd, the 10th, and the 17th of every month, through the date selected in the End Date field.
Respect Day of the Week applies the pattern maintaining the position of the days selected in the month (1st Tuesday, 2nd Saturday, etc.). So in this example, if the 3rd, 10th, and 17th selected in the Event Date field are the 1st, 2nd, and 3rd Sunday of the month, the event will repeat on the first three Sundays of each month until the End Date.
The video below shows the creation a handful of different events, to highlight the effects of each recurrence pattern:
You'll notice, in the final example, the event pattern did repeat on the first Friday, and the first Saturday as expected. It's important to note that in situations where those don't land contiguously (the first Friday of the month is after the first Saturday of the month), the recurrence logic will split them in that way. If that isn't your intention, creating it as a Selected Days Only event, and manually selecting the days is the way to go.
