Creating Your First Event & Volunteer Profile
Purpose: This guide walks you through creating your first event and adding your first volunteers.
Use Case: Once the initial setup of your admin account is complete and you're ready to begin volunteer engagement with creating your first event and volunteer sign-up.
Prerequisites
- Roles & permissions configured
- Waiver uploaded
Adding Your First Event
- Go to Events → Click the yellow "+ Add" in the upper left hand corner.
- Add details:
- Event time
- Date, and any reoccurring dates
- For reoccurring dates, you may select the exact dates, or add weekly and monthly repeats
- Roles and Number of Volunteers (Shifts)
- Select which roles this is applicable to (e.g. Event help, Check-in Lead, Construction Volunteers)
- You may identify and select more than one role for volunteers to sign up for.
- Title and Event Description
- Calendar Visibility
- For public events, these will be able to be viewed by anyone inside of your organization.
- For group events, these will be able to be viewed only by people who are in the designated group.
- For private events, these will not be able to be viewed by any volunteers.
- Location
- Locations can be tied to a Google Maps address for easy navigation
- Point of Contact Information
- Volunteer Day-Of Instructions
- Include all relevant information for day-of responsibilities (e.g. parking, specific clothing requirements, what to expect)
- Save the event.
Adding Your First Volunteers
- Click the Champions tab on the left hand side.
- Click Add Champion
- Use their email or phone number to add them to your organziation. Then insert their other contact information
- Send invite (optional).
Ready to a Volunteer to your Event?
1. Click the Events tab on the left hand side and select the event in which you would like to register a volunteer for.
2. Scroll down to registrations and Click "+ Add Volunteer" on the right hand side.
3. Search for Volunteer by name, phone number, or email.
4. Select which role they will be volunteering for.
5. Add Volunteer. They will receive a notification that they have an upcoming shift.
Best Practices
- Create a “Test Event” to practice before going live.
- Use Saved Locations for faster creation.
